Museum Director Position
The Director, working closely with the Board of Trustees, is responsible for implementing the mission of the organization. The Director will provide the leadership necessary to achieve organizational goals and objectives and will develop, recommend, and implement policies, procedures, and budgets as needed. The Director is responsible for managing day to day operations, volunteer coordination, collections management, educational program development, and all fiscal matters. The Director will also have primary oversight for fundraising, public relations, and marketing. The Director will work with the Board to maintain and strengthen partnerships with businesses and other organizations to increase the Society's effectiveness in the community.Responsibilities:
Director will be responsible for the overall operations of the Little Traverse Regional Historical Society which include the Little Traverse History Museum, the functions at the Bear River Heritage Center and the Society’s Hayner Building (storage) along with the care and rotation of artifacts at the Pellston Regional Airport Exhibit within the framework as determined by the Board of Trustees.
Financial Responsibility:
Prepare the monthly bookkeeping for the museum. Prepare Quarterly and Monthly tax reports. Prepare monthly spreadsheets for the museum. Prepare material for annual 990 IRS reports for the accountant. Reconcile monthly bank statements (3 Banks) for the bookkeeper to provide a complete checks and balance. Prepare annual report for the License for Solicitation to the Attorney General with the Corporation papers. Responsible for daily deposits for the museum. Prepare input of financials into Peach Tree Computer program for each month on assets and liabilities. Prepare checks and enter into register, log weekly for check signing, including payroll. Prepare annual budget with the Executive Committee and be responsible for the financial welfare of the Society in accordance with accounting principles and the annual budget.
Artifacts:
Responsible for collecting, accessioning and protecting (as best as possible) all artifacts, photographs and archival material. Prepare donation sheets, information from donors and thanking donors with written correspondence as well as appraisal information. New IRS Laws require every donation to be categorized and assessed. De-accession of artifacts as directed by the Board of Trustees. Responsible for rotating artifacts and checking weekly on the storage for these pieces. Provide donor family with information on a family donation.
Event Planning:
Responsible for event planning, including soliciting sponsors for the events as well as making sure the committee has assistance where needed. Be responsible for volunteers, for writing PSA’s, advertisements, keeping within the budget and meeting the goals of the event. Responsible for programs on the history of the area for the general public and members.
Newsletters:
Responsible for four newsletters and the upkeep of the bulk mailing list. Be responsible for notifying the general membership of any By-Law changes for the annual meeting and preparing the annual reception and program.
Publications:
Responsible for the Society’s publications and wholesale books to outlets and keep track of invoicing. Prepare royalty fees to authors annually. Prepare new web-site in collaboration with Gaslight Media and provide new material for the site monthly and answer requests daily from the e-mails.
Grant writing:
Responsible for grant writing and researching new projects for grants. Write letters of support for other not-for-profits organizations when requested.
Research:
Provide research answers to the general public on historic questions and research requests.
Personnel:
Responsible for hiring, training and scheduling employees and maintaining a leadership role for employees and volunteers. Effectively manage a staff of up to five people and 32 volunteers for events and programs to accomplish the goals and mission of the Society.
Maintenance:
Responsible for ensuring the maintenance and the cleaning of the museums, dusting, replacing light bulbs, painting when necessary, maintain daily/weekly cleaning of bathrooms. Provide a security check with EPS weekly on our museums that require motion detectors. Be on call at all times 24 hours for any security problems that occur in our museums.
Membership:
Be responsible and pro-active at soliciting new members (goal 1,000 total members over three years) this year to increase by $8,000 in new dues for 2010/11 fiscal year. Provide letters to each member for renewals and for new members. Prepare marketing plan to get new members including presentations to local service clubs and organizations.
Tours:
Be prepared to provide coach and walking tours. Instruct students on school field trips about local history. Provide programs to community groups about the Society and the history of the area. Telephone requests - answer quick questions daily on historical information on the Little Traverse Bay region.
Exhibits:
Prepare new exhibits and work within the budget and maintain exhibits in all locations. Provide traveling exhibits for hotels or stores when asked.
Gift shop:
Purchase merchandise and books that will sell in the museum gift store, keep track of re-orders and maintain a clean organized gift shop. Oversee the preparation of a daily retail sheet and balance the daily sales, audit the transaction numbers on each sales slip and prepare a monthly spreadsheet and inventory. Order merchandise, and keep track of re-orders monthly. Mail items to customers.
Miscellaneous:
Look for new ways to find earned income for the Society. Keep up with new ways to improve the museum operations. Prepare a monthly director’s report. Mail out monthly reports to the Board members.
